01 · Starting parameters
The document list begins with the company model
There is no single document pack for every Free Zone. The authority aligns the applicants, licensed activities, legal form, workspace and visa capacity. A regulated activity can require prior approval from another competent body.
Before documents are collected, describe the product, customer countries, expected payments, owners and staff. These facts affect the licence and the later banking profile.
| Applicant | Commonly requested | Confirm separately |
|---|---|---|
| Individual | Passport, photo, contacts, address and visa or UID details where relevant | Passport validity, photo format, address evidence and any applicable NOC |
| Several shareholders | Documents for every owner, director and authorised signatory | Shares, authority, signing method and ultimate beneficial owners |
| Corporate shareholder | Licence, constitutional documents, corporate resolution, director and UBO details | Legalisation, translation, validity and the ownership chain |
| Regulated activity | Business description and professional or authority documents | Whether approval is needed before formation and how long it remains valid |
02 · Stages
A practical sequence from application to licence
- Define the activities, legal form, shareholders, signatory and visa requirement.
- Check name availability and the selected Free Zone’s restrictions.
- Submit the application and identity documents for preliminary review.
- Receive preliminary approval and respond to further information requests.
- Sign formation and workspace documents using a method accepted by the zone.
- Pay official charges and receive the licence and corporate document pack.
03 · Planning
What actually determines the formation timeline
The simplest route is normally a pre-agreed case with one individual shareholder, a standard activity and correctly formatted documents. Corporate ownership, foreign legal documents, a regulated activity or inconsistent forms add review cycles.
A fixed completion date promised before document review is unreliable. Plan around milestones: file readiness, preliminary approval, signing, payment and licence issuance.
| Risk | Why it arises | Prepare in advance |
|---|---|---|
| Unclear activity | The description does not fit the zone’s classification | Provide a specific list of goods or services and revenue model |
| Wrong document format | Translation, certification or validity is missing | Obtain written requirements for each document |
| Corporate ownership chain | Owners and authority must be established | Prepare an ownership chart, resolutions and documents at every level |
| External approval | The zone awaits another authority | Confirm the sequence and approval timeline before filing |
04 · Presence
Company formation and residence are separate procedures
In many cases the application, review and signing can be completed remotely where the selected zone accepts electronic identification. This still needs to be confirmed for the particular shareholder and package.
If an employment residence visa follows the licence, the applicant attends the final mandatory steps in the UAE: a medical examination and biometrics. Travel should be scheduled against confirmed process stages, not an advertised formation time.
